GREETINGS You have the option to record up to five different greetings for your mailbox. You can enable or disable the greetings as you need them through the Set-up options menu. For more information, please see User Guides. Below are sample greetings for personalizing your mailbox. A personal message gives callers the information they need regarding your availability and options to leave a message or who to contact in your absence. Standard Greeting with urgent only exit to another person Standard Greeting with urgent only exit to cell phone/pager Alternate Greetings (short term and extended absense greetings)
A Standard Greeting is the message a caller hears when you are in the office but unavailable to take a call or when no other Greetings have been recorded. Sample Standard Greetings Or "Hi, this is (name). I’m sorry I cannot take your call right now. Please leave a detailed message along with your name and telephone number. I will return your call as soon as I return. Thank you." Standard Greeting with "urgent only exit to someone else "This is (name) of (department). I'm currently unable (unavailable) to take your call. Please leave your name, phone number, and a brief message, and I will contact you as soon as possible. If your call is urgent please press 0 to reach (contact). Thank you.” Note: The 0 option is custom programming. If a Busy Greeting is recorded, it will play to callers when you are on another line. If the Busy Greeting is not recorded, the Standard Greeting will play.
Sample Busy Greetings
Alternate Greetings should be recorded when you are out of the office or on vacation. This greeting blocks all other greetings when it is enable. Upon your return, disable your Alternate Greeting and all other recorded greetings will be reactivated. Sample Alternate Greetings Away from the Office (all day) Hello, this is (name) of (department). Today is (date) . I will be out of the office all day today, but I will be checking in for messages, so please leave me a detailed message and I will return your call as soon as possible. If you need immediate assistance, please press "0" to reach (contact). Thank you." Note: The 0 option is custom programming. Away from the Office (for 1/2 day) Hello, this is ________, today is _________, I will be in meetings all morning, but will be available this afternoon. You have the option to record a Closed greeting that will play during your non-working Hours. Note: The activation of a personal schedule for your mailbox is custom programming. If you require this feature, please contact the IITS Help Line at extension 7613 or send an email to help@concordia.ca. Sample Closed Greeting Hello, this is (name) in (department name). Our offices are now closed. Please leave your name, number and message at the tone and I will return your call tomorrow. Or Hello. You have reach (department). Our office is now closed. Our office hours are from 8:30 am until 5 pm, Monday through Friday. Please leave you name, number and a brief message and I will return your call tomorrow. An Internal Greeting will play to internal callers only, if recorded. Outside callers will hear your Standard Greeting. You may want to use Internal Greetings when you need to give specific information to callers within Concordia that is not relevant to outside callers.
